Privacy statement Stichting OMID [OMID Foundation]

The OMID Foundation and the people we work for rely on your support. With your donation, involvement, or by supporting one of our campaigns on social media, you help make the world a little better for Afghans in need. We are grateful for your commitment to Afghanistan and its people and for the trust you place in us to use your contributions to make our work for them possible. To strengthen that trust, we are pleased to inform you, through this privacy statement, about how we handle the personal data we receive from you.

Wij zijn verantwoordelijk voor de persoonsgegevens die wij van je verkrijgen

As you demonstrate (proven) interest in the OMID Foundation, we maintain a so-called customer relationship with you. In this relationship, we collect personal data. Once we store your personal data, we become the “processor” of your data. This means that the OMID Foundation is responsible for handling your personal data with care. Among other things, this entails that we handle your personal data confidentially, have implemented security measures to protect your data against loss, unauthorized access, or theft, and will delete data when it is no longer needed for our work related to Afghanistan. Additionally, we are required to demonstrate how and when we obtained your data and that we have your consent for this.

When we receive your personal data

The OMID Foundation collects your personal data in various ways, including but not limited to the following situations:

  • When making a donation to the OMID Foundation, your name and bank account details are processed. These details are necessary for registering and processing your donation. In some cases, we may also request additional information, such as your address, to keep you informed about our work and new campaigns.
  • If you are a volunteer for the OMID Foundation or contribute in other ways to the foundation, we collect your data to facilitate our collaboration and provide optimal support for your involvement.
  • When using our services, your personal data may be processed. Examples include contacting us via email or phone, making a donation via SMS, or subscribing to our email newsletter. In these cases, we process your phone number, email address, and name.
  • Data you share with us online may also be processed. This includes visiting our website, signing a petition, your online action page, and data (such as your place of residence) derived from social media.

We process your personal data to achieve our mission

We may only process your personal data if we have a legal basis for doing so. Our mission to work towards a better future for Afghanistan provides us with a legitimate interest to process the personal data we have received from you. Other legal bases we rely on include your consent, the ability to execute a donation agreement, and our legal obligations. Specifically, we process your personal data to:

  • process and manage your donation.
  • comply with (legal) financial record-keeping requirements
  • inform you as accurately as possible about what OMID does with your donation, what we achieve for Afghans, and about campaigns in which we may ask for a new donation. We verify the data we have about you

When we obtain your personal data, it is important that we have accurate information. Only then can we involve you in achieving our mission as effectively as possible. For this reason, we verify and/or enrich the data you provide via an external database (CDNN) and regularly check this information. For example, we can correct typos in your name or verify whether the address information we have for you is still accurate. The data we verify and/or enrich in this way includes your initials, name details, gender, date of birth, and address details. We do not sell data or disclose that you are in our system to anyone.

We do not use your data for purposes other than those mentioned above

Your personal data remains with the OMID Foundation, with a partner contracted by OMID Foundation to provide services for us, such as a call center or distribution center, or on the social media platforms described above. Additionally, in certain cases, we use IT systems from service providers, who may sometimes have access to our system where your personal data is processed. In all cases, we ensure that these third parties adhere to high standards of privacy and security. OMID Foundation never sells personal data to third parties.

We do not retain your personal data longer than necessary

Your personal data is not kept longer than necessary. To consistently advocate for Afghanistan, it is essential for us to maintain a long-term relationship with our (potential) donors. This is necessary to maximize revenues for our work and minimize the costs of our fundraising efforts. Such a relationship may be continuous or intermittent. To maintain this relationship, we need access to data throughout its lifecycle, but for no longer than 30 years. After this period, the data is deleted by archiving, coding, anonymizing, or destroying it.

We do not retain your personal data longer than necessary:

  • You have the right to request access to, correction of, or deletion of your personal data.
  • Right to object. This means you can object to OMID Foundation’s use of your data for promotional purposes.
  • You always have the option to file a complaint about OMID Foundation’s use of personal data. Initially, you can do so with us so we can learn from it, but if you are not satisfied with our response, you can submit your complaint to the Dutch Data Protection Authority (Autoriteit Persoonsgegevens): https://autoriteitpersoonsgegevens.nl.
  • Upon your request, we will share, correct, anonymize, or delete your personal data. For example, this may occur when protecting the rights of third parties outweighs other concerns. This may happen if your access request also includes the personal data of others. If we decline a request, we will provide a written explanation within six weeks explaining why we cannot comply.
  • If you disagree with our decision regarding a request for access, correction, deletion, or objection, you may file a complaint with the Dutch Data Protection Authority.
  • You have the right to data portability. This means you can request OMID Foundation to provide your digitally stored data when entering a similar relationship with another organization. Specifically, this means we will send you an overview of your stored personal data. You can also request OMID Foundation to transfer the data directly to the other organization. OMID Foundation is not responsible for how the other organization processes this data.

You can unsubscribe from campaigns and newsletters

If you have made a donation, your address, email, or phone number may be used by us to inform you about our new campaigns. This can occur via mail, email, or phone. When you support OMID Foundation or subscribe to the email newsletter, you will be explicitly asked for consent, and we will clearly explain how your consent will be used. In every email or after every phone call, we offer you the option to modify your preferences or unsubscribe from this form of communication.
